Encalio Privacy Policy

This policy explains how Encalio collects, uses, shares, protects, and retains information for our websites, applications, event planning tools, vendor marketplace, messaging, ticketing, bookings, media galleries, and support services.

Information we collect

We collect information you provide, including account and contact details; organizer, vendor, staff, guest, and attendee records; event, RSVP, seating, ticket, booking, quote, contract, payment, and payout details; messages, consent records, support tickets, reviews, reports, and uploaded media. We also collect device, browser, IP address, approximate location, cookie, session, security, audit, usage, referral, and performance data when you use Encalio.

Public business information and unclaimed listings

We may collect business names, categories, addresses, service areas, websites, public email addresses, phone numbers, social links, hours, descriptions, and similar professional information from vendor-owned websites, public maps and directories, public social profiles, structured web data, and other approved public sources. We use it to find, deduplicate, enrich, and publish limited unclaimed listings; assess listing quality; invite an authorized representative to claim a listing; and avoid re-contacting or republishing businesses that opt out. Businesses may request correction, suppression, removal, or ownership review.

How we use information

We use information to authenticate users, operate accounts, publish and personalize listings and event pages, help plan events, manage guests and seating, process bookings and tickets, reconcile payments and payouts, deliver requested communications, prevent fraud and abuse, provide support, moderate content, measure product and campaign performance, improve features, maintain backups and audit records, and comply with legal, tax, safety, and processor obligations.

Location, sponsored content, and measurement

We may use a signed-in user’s profile location or an unsigned visitor’s IP-derived approximate location to select relevant vendors, events, and clearly labeled sponsored placements. We record impressions, clicks, referral or campaign codes, and resulting Encalio activity for internal attribution and billing. We do not use precise device location unless a feature asks for permission. We do not currently sell personal data for money or use third-party cross-context behavioral advertising.

Email, invitations, SMS, and MMS data

We may process email addresses, phone numbers, consent source and timestamp, invitation lists, message content, MMS media URLs, delivery receipts, reply keywords, opt-out records, credit usage, and carrier or provider metadata. Transactional messages support security, accounts, events, bookings, tickets, payments, and support. Commercial email includes an opt-out mechanism. Marketing SMS or MMS is sent only when the sender has the consent or other legal basis required for that communication. Reply STOP to opt out, START to opt back in, or HELP for help where supported. We retain suppression records so we can honor opt-outs.

Payments and financial data

Payments are processed through third-party payment processors such as Stripe. Encalio does not store full card numbers, CVC/CVV, or full bank account numbers in application-accessible systems. We may store payment status, tokenized processor identifiers, invoices, fees, refunds, payout, dispute, tax, and booking records needed to operate the service.

AI and automation

AI and deterministic automation may help enrich public business listings, classify or moderate content, prepare drafts and layouts, summarize support or operational information, detect quality or policy concerns, and recommend planning actions. We limit inputs to what is reasonably needed for the task and maintain operational or audit evidence. Full card numbers, CVC/CVV, full bank details, private payment credentials, and unnecessary identity documents must not be submitted to AI workflows. AI output is subject to human review where it affects publication, outreach, safety, contracting, or payments.

How we disclose information

We disclose information as needed to organizers, vendors, attendees, authorized collaborators, Stripe and other payment services, email and messaging providers, hosting and storage providers, map and location providers, security and fraud tools, analytics and operational vendors, professional advisers, support staff, and government or legal recipients. We may disclose information in a merger, financing, acquisition, reorganization, or sale subject to appropriate protections. We do not disclose private event or payment information merely because a listing is public.

Public and shared information

Published vendor listings, public event pages, reviews, sponsored placements, public galleries, and user-selected profile details can be viewed and indexed publicly. Private, unlisted, invite-only, team, guest, and account data is limited according to the selected access settings, but recipients may still copy or share information they can access. Organizers and vendors are responsible for choosing appropriate visibility and permissions.

Your choices and privacy rights

You can update account details, communication preferences, consent, profile and event visibility, media sharing, and certain location settings in Encalio. Depending on applicable law, you may request access, correction, deletion, or a portable copy of personal data and may opt out of targeted advertising, sale of personal data, or certain profiling. Encalio does not currently sell personal data or use cross-context behavioral advertising. We verify requests and may deny or limit them where an exception applies. You may appeal a denied privacy request by replying to the decision or contacting support.

Cookies, sessions, and analytics

We use necessary cookies and similar technologies for authentication, security, language and interface preferences, fraud prevention, cart and checkout continuity, and session operation. We also use first-party logs and measurements for traffic, feature use, referrals, sponsored placement attribution, reliability, and troubleshooting. Browser controls can block some technologies, but doing so may prevent login, checkout, language, or other core features from working.

Retention and deletion

We keep information for the life of the account or listing and as reasonably needed for service delivery, opt-out enforcement, fraud and security, contracts, tax and accounting, payment and chargeback disputes, legal claims, audit integrity, and backup rotation. Retention varies by record type. Deleted information may remain temporarily in protected backups until normal expiration and may be retained longer when law, safety, a dispute, or a legal hold requires it.

Security

We use administrative, technical, and organizational safeguards including role-based access, MFA and passkeys, encryption in transit, secure audit logs, monitoring, backups, rate limits, network controls, and incident response. No system can guarantee absolute security. Users must protect credentials and promptly report suspected account or data compromise.

Children and event guests

Encalio is not directed to children under 13 and children may not create their own accounts. An authorized adult organizer may manage guest, seating, RSVP, ticket, or media information involving minors when lawful and appropriate. Organizers are responsible for required parental consent, notices, and safe visibility settings.

Policy changes

We may update this policy as Encalio, providers, and legal requirements change. We will post the revised policy with a new effective date and provide additional notice when a material change requires it.
